FULL-TIME ADMINISTRATIVE OFFICER
Kunsill Studenti Universitarji (KSU) is seeking to employ a full-time Administration Officer on an indefinite basis to support the Council in the day-to-day administration of its office at the University of Malta, Msida Campus.
The selected candidate will play a key role in ensuring the smooth running of KSU’s administrative operations and in providing effective support to students, Council members, and external stakeholders.

Role Overview
The Administration Officer will support the Executive Board and
Administrative team in the daily operations of KSU. The role requires strong organisational ability, attention to detail, discretion, and professional communication skills.
Key Responsibilities
KSU Functions
- Assisting KSU members with the Toga rental system
- Attending to students’ queries and directing them to the relevant Executive member
- Providing front desk assistance and general office support
- Issuing KSU parking permits through the internal system
- Taking minutes during meetings as required
Finance
- Maintaining and balancing petty cash
- Issuing invoices and quotations
Events Support
Supporting the Executive Board in the coordination and logistical finalisation of major KSU events. Duties include assisting with delegated logistical tasks and administrative follow-up to ensure smooth execution.
Skills & Experience Required
- Minimum Diploma or A-Level standard of education
- Fluency in both English and Maltese
- Strong organisational and time management skills
- Ability to communicate professionally with students, staff, and stakeholders
- Ability to work independently while contributing effectively within a team
- Good working knowledge of standard office software (email, word processing, spreadsheets)
- Willingness to work flexible hours when required
Assets
- Previous experience within an NGO environment;
- Knowledge of accounting principles and SAGE;
- Previous experience in an administrative role;
- Previous work with youth and youth organisation.
